When a sponsored Instagram post becomes unavailable, record the original deliverable, the last time you could see it, your current viewing context, and the evidence you still have. Ask the creator what changed before calling it a deletion, a policy removal or a missed obligation. Keep the post's availability separate from its saved results and the agreement's publication requirements.
Check what was supposed to remain visible
Open the accepted agreement and any later written changes. Find the post format, publication date, required live period, reporting deadline and any agreed replacement process. Record where each requirement appears. If nobody agreed on a live period, write "No live period found in the accepted terms." Do not add a duration after the post disappears.
For Stories, check the format before opening an exception case. Instagram says Stories disappear after 24 hours unless added as highlights. A Story missing after that period can be consistent with the format. A separately agreed Highlight requirement still needs review. This visibility rule says nothing about whether analytics remain available.
Also check whether the URL belongs to the approved version. If a revision produced a different post, link both records. Use the creator deliverable revision workflow to keep an old URL from becoming a false missing-post alert.
These are campaign recordkeeping recommendations. They do not establish a right to withhold payment, demand a refund or require republication. Refer disputed obligations to the person responsible for the agreement and, where needed, qualified counsel in the relevant jurisdiction.
Record the observation before assigning a cause
Open the saved permalink through your normal authorized access. Record the visible message, timestamp and time zone. Note whether you were signed in, which business account you used, and whether that account follows the creator. Never include credentials in the log.
If a tracking tool reported the problem, distinguish its result from a direct Instagram check. "Tracking tool did not retrieve this post" and "Instagram displayed an unavailable message" describe different observations. Recheck the saved link for a copying error. Schedule another check if the cause remains unclear.
Two Instagram features show why a missing post alone cannot establish misconduct:
- Archiving a post hides it from followers and other users while keeping its likes and comments. Instagram also allows the owner to undo archiving.
- For private accounts, followers need approval, and profile or feed photos and videos are visible to followers. Your account's access affects what you can observe.
Do not try to bypass a private account or a restriction. Ask the creator for clarification and relevant evidence they choose to share. A creator's explanation should remain attributed to them unless you have evidence that verifies it.
Use a narrow status such as "Unavailable to our viewing account; cause unconfirmed." Reserve "creator confirmed archived" for that reply. If the creator reports a platform removal, request the relevant notice with unrelated account details redacted. Do not infer which policy applied from the broken link.
Keep one missing-post case log
Create a case linked to the existing deliverable. Keep dated updates rather than replacing the first observation with the latest explanation.

Save evidence in the campaign's access-controlled folder. Retain only what the case needs, under your organization's retention rules. A screenshot should preserve enough context to identify the post and observation, without collecting unrelated messages or account information.
Modash's influencer tracking guide recommends connecting content records and results to the same creator. Apply that principle here by keeping the unavailable-post case attached to the original record. Deleting the row would also remove the explanation for a reporting gap.
Ask the creator without alleging a violation
Send the permalink with a factual description of what you saw. Give a response time that fits the campaign and your existing agreement. Ask for the smallest amount of information needed to resolve the case.
This message is a hypothetical example for a Reel with an agreed live period ending October 15:
Hi Alex, the campaign Reel link in this thread showed as unavailable from our brand account at 10:00 UTC on September 30. Our saved agreement lists October 15 as the end of the live period.
Could you confirm whether the post is still live and whether its link or visibility changed? If you received an Instagram notice affecting it, please share the relevant part with unrelated account details removed.
Please also send any agreed reporting evidence you can still access, with the metric labels and capture date visible. Could you reply by October 1 at 12:00 UTC so we can update the campaign report? Once we understand the cause, we can agree on any next step.
If safety, harassment or another sensitive issue prompted the change, move the discussion to the appropriate internal owner. Avoid demanding personal details or immediate republication while that review is open.
Preserve results and explain the reporting gap
An unavailable post does not turn a saved measurement into zero. Keep previously captured values with their original labels and dates. Mark later measurements as unavailable if you could not obtain them. Do not extrapolate the missing period or rename an earlier capture as the final result.

A replacement post needs its own URL and measurement record linked to the original case. Keep earlier and replacement results separate unless the report explains how it combines them. Agree in writing how any replacement affects the deliverable's completion status.
For wider reporting gaps, use a missing-data note that separates unknown values from measured results. Close this case only after recording the creator's response or the unanswered follow-up, the owner's decision, and the exact limitation carried into the report. Your next action is to enter the first observation and send the clarification message with the original permalink.
