Before sending beauty products to creators, ask whether they want the gift, which listed products they prefer, and whether they want to skip any items. Give them the manufacturer's ingredient lists, directions and warnings before they choose. Keep preference questions optional, collect delivery details after acceptance, and leave health history out of the seeding form. Your team can check the order against a creator's choices; it cannot certify that a product is safe for that person.
This beauty influencer seeding workflow covers voluntary gifts of consumer cosmetics to adults. The regulatory examples concern the United States, with a separate UK data-protection reference. Products with treatment claims, medicines, devices and other regulated categories need product-specific review.
Check the product information before asking questions
Build a short, current product menu. For each item, show its exact name and variant, manufacturer ingredient list, intended use, directions and warnings. Use information for the destination market and the version you will ship. If the carton and website disagree, hold the item while the product team resolves the difference.
The FDA's advice on using cosmetics safely tells consumers to read the entire label, including ingredients and warnings. Giving creators that information before acceptance lets them decline without explaining a medical concern to a marketer.
Keep the manufacturer's warnings intact. A campaign manager should not shorten a caution to make a product sound more welcoming, invent an application schedule, or replace product-specific instructions with a universal patch-test rule. Have the product or regulatory owner review the menu before outreach.
Also confirm the product category. Under FDA guidance on personal care products, intended use can make a beauty product a drug, or both a cosmetic and a drug. Sunscreens and acne treatments are examples. Put those products through qualified regulatory review rather than adding them to an ordinary cosmetics parcel by default.
No named product is recommended here. Any real performance or suitability claim in your menu needs support for that specific product.
Use a preference-led acceptance form
Modash's gifting guide distinguishes gifts with no posting obligation from exchanges with agreed deliverables. It also describes collecting product choices before shipment. For this workflow, state that posting is optional at the top of the form. A commissioned tutorial needs a separate agreement about the work.
The following is recommended form wording, not a regulator-issued questionnaire. Attach your reviewed product menu before sending it.
| Form item | Wording and response options |
|---|---|
| Invitation | Would you like to receive a product gift? Yes / Not this time. No post or review is required. |
| Product choice | Which items on the attached menu would you like? Select any, or choose none. |
| Variant preference | For the items you selected, choose a listed shade, scent or finish if you have a preference. You may skip this question. |
| Exclusions | Are there any items on this menu you do not want us to send? Select items only. No explanation is needed. |
| Information request | Would you like more product information before deciding? Ingredient list / Directions / Manufacturer warnings / Contact from the product team. |
| Substitutions | If an item is unavailable, may we contact you with another option? Yes / No. We will wait for your choice before sending a replacement. |
| Delivery timing | If you accept, when can you receive the parcel? Choose a delivery window or ask us to contact you later. |
Add this note beneath the choices:
Please do not include diagnoses, medication details, pregnancy information or other health history. You can decline any product without giving a reason. Our seeding team can share manufacturer information but cannot advise whether a product is appropriate for your health needs.
Do not turn every skipped preference into a follow-up question. A blank shade field means the creator has not chosen a shade. It gives you no basis to infer one from a photo. If the item needs a selection, pause that item or offer a different option. For a shade-specific workflow, use voluntary shade selection without appearance assumptions.
Avoid broad fields such as "Tell us about your skin problems" or "Anything medical we should know?" Asking for health details creates a task the fulfillment team cannot resolve. A list of products to exclude is enough to record the shipping decision.
Where UK GDPR applies, the ICO's data-minimisation guidance says personal data should be relevant and limited to the purpose. The page is under review following UK legislative changes. The preference-only approach above is an operational recommendation; it does not establish legal compliance by itself.
Collect the delivery address through your controlled shipping process after acceptance. Explain who uses the details and why. Restrict access, set a retention period for the shipping purpose, and avoid copying addresses or unsolicited health details into campaign reports. Have your privacy owner review the process for the markets involved.
Decide whether to send, hold or omit
Apply this decision table to each selected item. Do not produce a "safe for creator" score.
| Situation | Shipping decision |
|---|---|
| Creator accepts an exact item; information is complete | Send the selected item after normal fulfillment checks. Record acceptance, not medical clearance. |
| Creator excludes an item | Omit it. Do not ask why or add it as a surprise. |
| Required variant is missing | Ask for that choice or omit the item. |
| Ingredients or warnings are unavailable or inconsistent | Hold the item for the product owner. |
| Creator asks about use with a medication or health condition | Pause the item. Provide manufacturer information and direct the personal-use question to a qualified healthcare professional. |
| Selected item is unavailable | Offer another option only if invited; wait for acceptance. |
Consider a hypothetical parcel containing a cleanser, a scented cream and a lip tint. The creator selects the cleanser and tint, excludes the cream, and leaves the tint shade blank. Send no surprise cream. Ask for the tint shade, or offer to send only the cleanser. Nothing in that exchange requires a skin diagnosis or a reason for declining fragrance.
Pack a product-information insert
The insert should help a creator identify what arrived and find instructions. It should remain separate from promotional talking points.
Have the packer check these contents against the parcel:
- Exact product and variant names, matching the enclosed items.
- Manufacturer directions and warnings supplied with each product, with legible labels left intact.
- The current official ingredient-information link for each item.
- A product-support route for missing information, damage or concerns.
- A statement that the gift creates no obligation to use or post about the product.
- Disclosure guidance for any voluntary endorsement.
Do not add "safe for sensitive skin" as reassurance unless the product owner has reviewed the claim and its support. Even "hypoallergenic" does not mean a product cannot cause an allergic reaction, as the FDA explains in its cosmetics safety guidance.
For US-facing endorsements, the FTC's disclosure guidance treats free products as a relationship that may need disclosure. Tell creators to make the gift relationship clear with the endorsement. Video disclosures belong in the video. Do not treat the absence of a posting obligation as an exemption.
The insert also must not supply an invented testimonial. Creators should describe only experiences they have had, and the brand needs evidence for claims that require proof. Use the supportable beauty product claims workflow to prepare any separate talking points.
If content later becomes a paid ad, review it again for the market and placement. TikTok's healthcare advertising policy, for example, sets market-specific conditions for regulated products. Its US OTC-medicine rules include adult targeting and approval conditions. Those paid-ad rules do not establish permission for every organic beauty post.
Test the handoff before shipping
Walk one trial order through the form, packing list and insert. Check that an excluded item cannot reappear as a gift extra, an unanswered choice stays unresolved, and a health question stops the marketer from improvising advice.
Name the person who receives product concerns after delivery. If a creator reports an unexpected reaction, FDA guidance advises stopping use and contacting a healthcare provider. Move the report into your beauty product reaction response process, with the product-safety owner involved, rather than handling it as a missed posting deadline.
Before sending your first invitation, have the product owner approve the menu and remove every form field that asks the creator to justify a personal health decision.
